Definition

Codemax RMS (Resource Management System) is an F&B operations platform specialised for central kitchens and retail outlet networks, managing the end-to-end operation — procurement, production, inventory, and distribution — with full batch-level traceability from kitchen to counter.

01 · Overview

What is RMS?

RMS is the operational backbone that connects your central kitchen to every retail outlet. It replaces the patchwork of disconnected tools, inventory sheets, and back-office spreadsheets most operators run on, and gives HQ a live, traceable view of every batch, recipe, and SKU as it moves from production to sale. RMS connects natively to ERP, accounting, and the rest of the Codemax stack.

03 · Capabilities

Key features

F.01

Central-kitchen recipe and BOM control

Govern recipes, sub-recipes, yields, and BOMs from one place — pushed to every outlet without version drift.

F.02

Production planning and batch tickets

Plan production against rolling outlet demand, with auto-generated pick lists and batch tickets.

End-to-end batch traceability

Trace any batch from raw ingredient receipt through production, dispatch, and outlet sale — audit-ready in seconds, not days.

04 · Engagement

How it works

From scoping to network-wide operation, in clearly defined phases.

Resource Management System in operation
  1. Map your network

We model your outlets, central kitchens, recipes, and ERP touchpoints from your existing data.

  2. Connect your ERP and POS

Bi-directional connectors are configured for your finance, accounting, and payment systems.

  3. Roll out by outlet cohort

Outlets go live in waves — typically pilot store, then regional cohort, then network-wide.

  4. Operate and optimise

HQ runs daily on RMS; the AI-Kitchen Command Center watches the operational data and surfaces anomalies before P&L impact.

07 · FAQs

Frequently asked questions

The questions enterprise buyers ask before they sign — answered up front.

How is Codemax RMS different from an ERP or a standalone ordering/inventory system?
A general ERP is built for finance and generic supply chains, and a standalone ordering or inventory tool only covers one slice of the operation. RMS is purpose-built for F&B — recipe and BOM control, central-kitchen production planning, batch traceability, and multi-outlet inventory and replenishment on one data spine. It does not replace your ERP or accounting: it captures the operational detail those systems miss and feeds them clean, reconciled data through native, bi-directional connectors for SAP, Oracle NetSuite, Microsoft Dynamics 365, and Xero.
What does "end-to-end traceability" actually cover?
Every batch is traceable from supplier receipt through central-kitchen production, dispatch, outlet receiving, and final sale. If an ingredient is recalled, you can identify every affected batch, outlet, and sale window in minutes — with an audit trail regulators accept.
Does RMS work for a single outlet, or only enterprise networks?
Both. RMS is designed to scale from a single store to enterprise franchises with hundreds of outlets. The same platform grows with you — you do not migrate systems when you scale.
Which ERPs does RMS integrate with?
RMS has bi-directional, audited integrations with SAP, Oracle NetSuite, Microsoft Dynamics 365, and Xero. We also support custom connectors for in-house ERPs over REST or SFTP.
How long does an RMS rollout take?
A pilot store typically goes live in 4–8 weeks. Network-wide rollout cadence depends on how many outlets you operate and how many waves you want to do — most groups complete rollout within one or two quarters.
Where is our data hosted?
RMS runs on cloud infrastructure in the region by default, with on-premise and private-cloud options available for groups with data-residency requirements.
Do you provide training and support?
Yes. Every rollout includes outlet-team training, HQ admin training, and a defined support SLA. Ongoing support is included with the subscription — and the MindFlow Online Academy adds self-paced courses for your teams.
